registration, proposal submission, subscription:


A registration, subscription and/or proposal submission to this event is not possible without collecting, saving and processing your personal data. This is solely for the purpose of organising and realising the event. Your data will only be passed on to third parties, who are directly involved in running the event and when the organisational process makes it necessary – in accordance with your bookings (proposal reviewers, organising committee etc.).

When you conduct a transaction on our website, as part of the process, we collect personal information you give us such as your name, address and email address. Your personal information will be used for the specific reasons stated on the Website only dependant on the form you filled out; either to add you to the aimos meetings mailing list OR to register you for the conference. We do not use this information for any other purpose.

We collect such Non-personal and Personal Information for the following purposes:

- To provide and operate the Services.
- To be able to contact our Visitors and Users with general or personalized service-related notices and promotional messages.

The recipients only receive the data they require, not your full data record. Your data will only be forwarded when the organisational process makes it necessary – in accordance with your bookings – and when a legal basis exists.

We may share your data with the following:

The Organising Committee; the organising commitee of the event may sometimes have access to your name, address and email in the complete delegate list before the meeting.

The Convener of The Event; the Association for Interdisciplinary Meta-Research and Open Science will receive a full list of attendees at the conclusion of The Event.

Exhibitors to the event; we may share your name, business address and email with exhibitors at the event only if you have agreed to do so during the registration process.  

Marketing. We may share your name and contact data with Mailchimp (USA / Online Mailing Provider). Mailchimp participates in and has certified its compliance with the EU-U.S. privacy shield framework.

 


data storage period:


Registration and contact data are stored for 7 years, to meet the retention period according to the Australian Tax Law and to permit post-event support and service (i.e. belated participation confirmations and presentation certificates).

In the case of (e.g. annually) recurring events, the data are stored for at least 7 years after the end of the entire event series. Upon cancellation of the person concerned, their data will be deleted immediately.

Use of data - Legitimate Interests of the Controller.  Concerns the following data subject categories: speakers & chairs, proposal presenters, attendees, industry.

(a) Advertising/Marketing: Processing data of the data subject to inform him/her/them about the event, as well as future and topic-related events.

(b) Development: Processing data of the data subject to develop the program as well as the organisation and implementation of the above-mentioned event, future and topic-related events.

(c) Publication of the program: Processing data of the data subject for the promotion and publication of the event program via various communication channels (including website and print media).

Our Website is hosted on the iVvy Events (iVvy.com.au) platform. iVvy Events provides us with the online platform that allows us to register you to our events and sell our products and services to you. Your data may be stored through iVvy.com.au’s data storage, databases and the general iVvy.com.au applications. They store your data on secure servers behind a firewall.

General Data Security & Accountability of Data Processor iVvy:

PCI Compliance – iVvy has achieved level 1 compliance with third party auditors, confirming they meet the strictest security requirements.

ISO27001 Compliance – iVvy operates to the ISO27001 standards.

Data Storage – Data for our account is stored in Australia. iVvy currently has 3 data regions in the UK, USA and Australia. Data is not shared between regions and never transferred outside the data centre by iVvy.

All direct credit card payment gateways offered by us via the Data Processor iVvy and used by us are managed directly through PayPal Australia Pty Ltd.  PayPal Australia Pty Ltd's Privacy and security policies apply to your data. We do not recieve or know your credit card details.

If you make a bank transfer to us, we do not know the details of your account, we only receive a notice that payment was made by our bank.

We may contact you to notify you regarding your registration, to troubleshoot problems with your registration, to resolve a dispute, to collect fees or monies owed, to poll your opinions through surveys or questionnaires, to send updates about our event, or as otherwise necessary to contact you to enforce our User Agreement, applicable national laws, and any agreement we may have with you. For these purposes we may contact you via email.
