TERMS AND CONDITIONS
International Deer Biology Congress February 10 - 13 2026

The International Deer Biology Congress 2026 (IDBC26) has engaged akB Conference Management Limited (akB), as the professional conference organiser, to assist with the registration and website. For the purposes of these Terms and Conditions, “we” or “us” is in reference to IDBC26 and akB.
Please read these terms and conditions carefully before purchasing a registration. You should carefully consider the refund, cancellation, switching, and substitution criteria. Nothing in these terms and conditions is intended to limit any rights you may have under the New Zealand Consumer Guarantees Act 1993.
These terms take effect from 12.12.2024
Payment
Full payment for registration fees must be received prior to the IDBC26.
All prices are in New Zealand dollars and exclusive of Goods and Services Tax of 15% unless stated otherwise.
Invoices and receipts are issued in NZD; we cannot issue them in any other currency.
If paying by credit card, you will be required to pay a processing fee of 2.8%.
All international transfer payments MUST cover the cost of any bank fees.
Registration Categories
In-person attendance only - the delegate attends the conference in person.
Substitute Your Registration
We understand that there may be circumstances where you are unable to attend the IIDBC26 after you have registered, and you wish to transfer your registration to someone else.
To transfer your pass, please contact us requesting the transfer. Please use ‘Transfer my Registration’ in the subject line.
You will not be charged an administration fee for any transfer made.
Registrations may only be transferred once.
Cancellations and Refunds
Your cancellation
If your circumstances change and you can no longer attend the IDBC26, you may cancel your registration by contacting us.
If you cancel your conference registration, the IDBC26, shall provide a refund, if any, within thirty (30) days of receipt of the cancellation notice. Refund amounts will be calculated as follows:
For cancellations on or prior to November 30, 2025: we will provide a refund less an administration fee of $150.00 NZD (+ GST if required by law).
For cancellations on or after December 1, 2025 no refunds will be provided except in exceptional circumstances.
Please note that cancelling your registration does not automatically cancel your hotel and travel arrangements. Individuals are responsible for cancelling their own hotel and travel reservations and any associated costs.
Our Cancellation
If, for reasons beyond our control, the IDBC26,is cancelled, registration fees will be refunded after the deduction of an administration fee of $125.00 NZD + GST (15%).
Our Postponement
If, for reasons beyond our control, IDBC26 is postponed to a later date, you will be provided with the opportunity to either retain your registration for use at the postponed date or receive a refund (less an administration fee of $150.00 NZD + GST (15%)).

Video and Photography
By attending the IDBC26, you are confirming consent for any videos and photographs taken at the meeting, in which you may appear, to be used by the IDBC26 Secretariat.
Information Presented at the Conference
The information presented at the IDBC26 is solely intended for those who have registered.
You understand and agree that the information is provided for educational and informational purposes only and is focused on practical steps we can collectively apply to create opportunities that empower adaptive physical activity.
You understand and agree that while the content is accessible worldwide, some content may be region-specific, such as New Zealand.
Although the IDBC26 strives to present only current and accurate information, you agree not to solely rely on this information or consider it professional advice without additional independent review of its accuracy, completeness, efficacy, and timeliness. Any decisions on how you use this information are at your sole discretion, and the IDBC26,will not be liable for any issues arising from its use.
Participant Code of Conduct
The organisers are committed to making this meeting productive and enjoyable for everyone, regardless of gender, sexual orientation, disability, physical appearance, body size, race, nationality or religion. We will not tolerate harassment of participants in any form. Please follow these guidelines:
- Behave professionally. Harassment and sexist, racist, or exclusionary comments or jokes are not appropriate. Harassment includes sustained disruption of talks or other events, inappropriate physical contact, sexual attention or innuendo, deliberate intimidation, stalking, and photography or recording of an individual without consent. It also includes offensive comments related to gender, sexual orientation, disability, physical appearance, body size, race or religion.
- All communication should be appropriate for a professional audience including people of many different backgrounds. Sexual language and imagery is not appropriate.
- Be kind to others. Do not insult or put down other attendees.
- Participants asked to stop any inappropriate behaviour are expected to comply immediately. Attendees violating these rules may be asked to leave the event at the sole discretion of the organisers without a refund of any charge.
Any participant who wishes to report a violation of this policy is asked to speak, in confidence, to the conference convenor David Stevens.
Intellectual Property
All intellectual property in or relating to the IDBC26, including (without limitation) materials, graphics, recordings, copyright works, and trademarks, is owned by the IUBMB Special Focused Meeting or third-party content suppliers. You shall have no right to use, sell, reproduce, copy, distribute, or otherwise dispose of such intellectual property rights, and you must not allow any third party to do so.
Legal Claim
This agreement is subject to the laws of New Zealand. In the event of any legal claims arising from either party, New Zealand shall be the sole jurisdiction.
Programme
The IDBC26 reserves the right to modify the programme, which is published as an indication only. Updates will be made available on the meeting website.
Review of these Terms and Conditions
These Terms and Conditions may be amended from time to time. Updates will be posted on the IDBC26 website.
Accompanying Policies and Terms and Conditions
These Terms and Conditions are applied in conjunction with other policies, including the Data Collection Policy. If you are a contributor to the IDBC26, in another capacity, such as a speaker, chairperson, exhibitor, commercial partner, supplier, or organising team member, you may be subject to additional policies.
COLLECTION OF PERSONAL INFORMATION
EU GENERAL DATA PROTECTION REGULATION
Please note that by registering for the IDBC26 your personal information, including email addresses and other data is collected for IDBC26, this is for the purpose to gather information for the event. The information gathered is held in a secure server within the iVvy™ registration platform Policy
The Registration Managers, Organising Committee and iVvy™ software employees have direct access to your data once it is collected. This is for the purpose of organising the Conference.
Use of your data
Your data will also be used to populate a general delegates list that may be printed or displayed on a website. The information contained in the general list will exclude any direct contact details. Your data MAY also be shared with the organisations and third parties as below:
- iVvy™, the cloud computing platform the events database is hosted on.
- Payrix the conference authorised ecommerce providers.
- Caterers. Where you have indicated a dietary restriction, this will be provided to any catering company contracted for the event.
- Audio Visual supplier who receives Speaker presentations.
- Travel agencies and suppliers that may assist with flight or ground transport bookings.
- Website developer
- Collateral designer and printer e.g., Printed handbooks, programmes, name badges.
- Immigration New Zealand
- Business Events in Aotearoa
- IDBC26 Conference Committee and Registration Managers.
As part of the registration process, you will be asked to state your preferred data collection policy, the options are:
- I agree to share my data with all parties including sponsors and exhibitors – this means all data you provide will be shared with those organisations and third parties listed in this policy, as well as sponsors and exhibitors and on a delegate list.
- I agree to share my data with all parties to enable my attendance at the conference - excluding sponsors and exhibitors - this means all data you provide will be shared with those organisations and third parties listed in this policy but will exclude sponsors and exhibitors and the delegate list.
- I agree to share my data with all parties to enable my attendance at the conference and then want it deleted - this means all data you provide will be shared with those organisations and third parties listed in this policy but will exclude sponsors and exhibitors and the delegate list. At the conclusion of the conference your data will be deleted, and a code applied for financial purposes.
Opting out
If, at any time, you DO NOT wish your information to be shared in this way, please notify the Registration Managers email to have your information withheld. If you choose to do this, your information will not be shared with any other parties (except those listed above).
